Withdrawal from Exams, Illness, Inability to Take Exams

In general, you can withdraw from exam registrations without providing a reason. However, please be aware of the consequences, especially in the case of repeat exams and deadline-related exams.

  • Online: Until 11:59 p.m. the day before the exam via the Examination administration
  • On-site: In the examination room on the day of the exam, immediately before the exam starts, by signing a form with the examinerr

Important: If you are registered for an exam and neither withdraw nor provide proof of inability to take the exam, it will be considered failed and graded with a 5.0. Especially in the case of repeat or deadline exams, do not withdraw on your own due to illness.

Non-attendance Due to Illness/Inability to Take the Exam

Inability to take an exam due to illness must always be proven with a medical certificate, which must be issued no later than the day of the exam. A regular certificate of incapacity for work is no longer sufficient starting from the winter semester 2023/2024!

It is recommended to use the form “Medical Certificate”, though doctors may issue their own certificate as well.

  1. The medical certificate must be submitted immediately, but no later than three working days after the exam date, to the Office of Student Affairs via Pruefungsamt[at]fh-zwickau.de.
  2. Initially, the examiner will enter a 5.0 and “NE” (not appeared) in the grade overview. Once the exam office receives the grade report from the examiner, and the medical certificate has been submitted on time and approved, the inability to take the exam will be updated with the mark “AT” (attest). This process may take some time.
  3. If there are any questions or missing documents, the Exam Office or the Examination Committee will contact you.
  4. A rejection of the reported exam inability will be communicated in writing by the Examination Committee of your faculty.
  5. If the exam inability is accepted, the deadline for the (repeat) exam will be postponed, and the exam can be taken at the next scheduled date within the same attempt.

FAQ

Do not withdraw from an exam on your own during ongoing examination procedures, i.e., in the case of repeat or deadline exams. If you are unable to take the exam (e.g., due to illness), submit the appropriate documentation. Otherwise, the exam attempt will be considered failed and graded with a 5.0.

Is this your first attempt at this exam?

You may withdraw from the exam without giving a reason until 11:59 p.m. the day before the exam online, or on the day of the exam directly before it starts by informing the examiner.

If this is no longer possible, you will need to provide proof of inability to take the exam (see the question below: "Is this a repeat or deadline exam?"). Is this a repeat or deadline exam? If you cannot withdraw without a reason or are already involved in an ongoing examination process (i.e., you have already failed at least one attempt of the exam module), you must provide a valid reason for not attending:

Non-attendance due to illness of the examinee:

  • Obtain a medical certificate proving the inability to take the exam on the day of the exam
  • Submit the certificate to the Office of Student Affairs via Pruefungsamt[at]fh-zwickau.de no later than three working days after the exam

Non-attendance due to other valid reasons, e.g., illness of your child, death of a close relative:

  • Immediately submit appropriate supporting documents to substantiate the valid reason to the Office of Student Affairs via Pruefungsamt[at]fh-zwickau.de

As a general rule, documentation proving exam inability should be submitted before the exam.

If you experience health issues during the exam, the following must be done:

  1. Report your symptoms to the exam proctor
  2. Declare that you are terminating the exam due to health issues
  3. Undergo a medical examination on the same day
  4. Submit the medical certificate within three working days
  5. The Examination Committee will decide whether the inability to take the exam is accepted.

In principle, inability to take an exam cannot be recognized after the exam has been completed.

You are considered unable to take an exam if your ability to perform — i.e., your normal performance level — is significantly and currently impaired due to a health issue. The following are not recognized as valid reasons for exam inability:

  • Chronic conditions or long-term illnesses – in such cases, a compensation for disadvantages (“Nachteilsausgleich”) may apply
  • Exam anxiety or exam-related stress
  • Impairments that do not exceed a normal level, such as nervousness or having a "bad day"
  • Performance issues that are self-inflicted, e.g., due to the use of performance-enhancing drugs

As a rule, the medical certificate must include at least the following information (see also the form "Medical Certificate"):

  • Information about the examined person
  • Start and (expected) end of the illness
  • A medical confirmation of the inability to take the exam for the relevant types of exams
  • Confirmation that the health issue is temporary
  • Please also add your student ID number and the exams affected.

In the case of a hospital stay, a hospital stay certificate is sufficient as proof of exam inability. If your child is ill, please submit the “child sickness certificate” (“Medical Certificate for Receiving Sick Pay for a Child’s Illness”).

If any fees are charged for the certificate, the student is responsible for covering the cost.

A chronic condition (long-term illness) is a significant health impairment that limits a person’s performance not temporarily, but permanently or for an indefinite period — even with medical treatment or assistive devices — and without a clear chance of recovery. This chronic condition defines the student’s normal and regular level of performance. In contrast, illness-related exam inability is present when the student’s usual performance level is currently and temporarily significantly impaired due to a health issue.
